Events/Operations Specialist Job Description

The Events/Operations Specialist duties shall be as defined by FYSA Executive Director and FYSA Executive Committee (EC).

This is a general outline of the projected duties and responsibilities.  Actual duties and responsibilities will be assigned and/or modified based on current needs and requirements.

Event Planning

·         Coordinate planning of all FYSA-sponsored events with responsible EC member(s), including but not limited to:

o   AGM Meetings – oversight by President, Treasurer, and Executive Director

o   ODP –Director of Coaching and VP of Coaching/Player Development

o   Lake Myrtle Soccer Complex events – VP of Competition and/or VP Coaching/Player Development (depending on event)

o   State Cup/Presidents Cup –VP of Competition

·         Coordinate with the Executive Director all administrative support of the event under the guidelines of the EC member who Chairs event

·         Assist in the development and implementation of the operational plans and timelines

·         Develop and distributes support materials for publicizing the event

·         Coordinate sponsor and volunteer involvement in the event

·         Prepare post-event reports

·         Coordinate bid preparations for Region III or National events under the direction of the Executive Director and VP of Competition, or International events, assist in overseeing the local organizing committee (LOC), on-site event management and post-event reporting (once event bid has been pre-approved by EC)

Operational Duties

  • Work in the planning and execution of all FYSA events including but not limited to:
    • State Cup
    • President’s Cup
    • Florida State Premier League
    • Fundraising Events
  • Prepare,  plan,  and execution of field operations for all non-ODP events hosted at the Lake Myrtle Sports Park including sponsor and vendor involvement
  • Assist in mailing lists for Sponsorship, Partnership, Advertising, and non-event communications
  • Assist in purchases of all awards to include trophies and medals, player and coaches gifts, and other miscellaneous items for all State events including the Annual General Meeting
  • Coordinate and work with the Program Specialist of Communications and Program Coordinator over Competitive Program in Execution of Tournament Draws for State Cup and President’s Cup
  • Assist in Execution of  Live streaming events including State Cup, President’s Cup, and Annual General Meeting
  • Work in coordination with the Program Specialist of Communications and the Financial Specialist planning and execution of the AGM
  • Develop and implement operational plans and timelines


Program Duties

  • Provide information and technical assistance to FYSA affiliates regarding FYSA programs
  • Coordinate recreational program outreach
  • Develop special projects for FYSA
  • Will present regular updates and/or reports as requested by the Executive Director and/or EC member(s)



  • 4-year Bachelor Degree - emphasis on sports administration helpful but not required
  • Ability to work independently and multi-task while prioritizing and accomplishing goals
  • Experience working and coordinating volunteers
  • Excellent computer skills to include Microsoft Word, Excel, Office, etc.
  • Self-directed, positive attitude, mission-driven and capable of solving problems

    Department Overview

    The Member Programs Department is responsible for creating, implementing, and managing programming with the Organization Members of U.S. Soccer. We serve as the point of contact and assist our members via communication and education, with a goal to exceed expectations during every interaction. We are also responsible for the accounting and registration of all soccer players in the United States: professional, amateur, and youth.

    Primary Duties and Responsibilities

    • Be a point of contact and support programming for Organization Members
    • Assist with professional player registration for the domestic professional leagues, including review of player contracts, communicating approved registrations accordingly, and processing international player transfers
    • Process amateur international clearances for amateur and professional players and provide approvals for registrations, per FIFA regulations
    • Provide exemplary customer service in answering incoming e-mails and calls from constituents
    • Develop informational and educational presentations for membership on a variety of topics.
    • Perform various administrative duties for the department, such as data entry and filing
    • Assist with other Federation tasks and events as needed (AGM, National Team matches, etc.)

    Minimum Qualifications/Desired Characteristics

    • Bachelor’s Degree required
    • Excellent written and verbal communication skills are required; a working knowledge of the FIFA languages (French, Spanish, German) a plus
    • Exceptional attention to detail, ability to multi-task and strong organizational skills
    • Has an analytical mindset when it comes to problem solving and case processing
    • Strong knowledge of the sport and the overall soccer landscape in the United States; those with experience working for and with U.S. Soccer Organizational Members are ideal
    • Candidates with a background in technology are preferred
