Instructions for Using Mail Merge

 

There are two main Mail Merge documents on the FYSA Secure Web Site:

The "MM" in the name stands for "Mail Merge"

 

If you are merging player data, you will probably want to edit the main form first. At the very least, you should put your Club's name in two places, one at the top of the form, and the other right under the phrase "INFORMED CONCENT". Don't worry about the fact that the line containing <<Gender>>, <<HSGrad>>, etc. looks messed up. Since the data that will replace the tag is much shorter than the tag, it will occupy only a single line.

 

To merge a CSV file with the document:

1.      Open the main document (player or coach, whichever one you want to use).

2.      Click "View" in the main menu, then "Toolbars" to make sure there is a check next to "Mail Merge."

3.      You should note on the Mail Merge Toolbar that the "Insert Merge Field" button is grayed out. That's because there is not yet a data source connected to the document.

4.      Click "Tools" on the main menu, then click "Mail Merge..."  This opens Mail Merge Helper dialog box.

5.      You will see that the "Main document" is defined, but that the "Data source" is not.

6.      Click on the "Get Data" button, and choose "Open Data Source."  This brings up a standard file open dialog box.

7.      Change the "File of type" selection to "All Files (*.*)" [probably the last choice].

8.      Find the CSV file that contains the data you want to print.  Open the file.

9.      Click "Cancel" at the bottom of the Mail Merge Helper dialog box.

10.  You will see the name of the file in the "Data source section," and you will notice that the buttons on the Mail Merge Toolbar are no longer grayed.

11.  Click on the "Merge..." button to start the mail merge.

12.  You will probably want to merge to a new document, and use all of the records in your CSV file. These are the default settings. If that is OK, click the "Merge" button.

13.  The result is a new document containing one page for each player or coach.

14.  Print the document, or save it for later printing.
